Privacy Policy

Referee Alliance (“we,” “us,” “our”) provides scheduling, assignment, payroll, and compliance software for officiating organizations, their officials, and administrators. This policy explains what information we collect through the Referee Alliance web app, mobile app, and related services (together, the “Service”), how we use it, and the choices you have. It applies to referees/officials, league and tournament directors, organization administrators, and anyone else who creates an account.

1. Information we collect

Account and profile information. Name, email address, phone number, password (stored by our authentication provider in hashed form — we never see it in plain text), role (official, assignor, org admin), bio, city/state/ZIP, years of experience, certification level, sport preferences, and pay preferences.

Location. With your permission, we use your device's GPS location to show open games near you and to confirm you've arrived at a venue when you check in for an assignment. We also geocode the addresses you or your organization enter (venues, home address for distance calculations) using Mapbox and/or OpenStreetMap. You can decline location permission; some features (nearby-game search, one-tap check-in) won't work without it.

Documents you upload. Certifications, background-check results, licenses, insurance, and tax forms you submit for compliance review. These are stored in a private file bucket, screened for malware before an administrator can approve them, and are only visible to you and the administrators of organizations you belong to.

Payment information. To pay officials, we use Stripe Connect. We store your Stripe account identifier and the payment records (amounts, dates, status) processed through the Service; we do not store your bank account or card numbers ourselves — Stripe handles and stores that directly.

Communications. Messages you send other users through the Service, and the content of SMS/email/push notifications we send you about assignments, payments, and compliance deadlines.

Usage and device information. Log data, device type, and app install/notification-permission state, collected automatically to keep the Service reliable and secure.

Performance feedback. Organization administrators can record private ratings and notes about officials they work with. This information is never shown to other officials or made public — see “Referee ratings” below.

2. How we use your information

  • Operate the core Service: post and staff games, rank and recommend officials for assignments, run tournaments, process payroll, and track compliance.
  • Send transactional notifications — new assignments, accept/decline requests, payment status, document-expiry reminders, and unfilled-game alerts — by in-app notification, SMS, and email.
  • Verify eligibility to officiate (certification level, background-check and compliance status) before an assignment can be confirmed.
  • Detect and prevent fraud, abuse, and security incidents.
  • Improve the Service — we look at aggregate usage patterns, not the content of your private messages.

3. Who we share it with

We don't sell your personal information. We share it only as needed to run the Service:

  • Your organization(s). Directors and administrators of an organization you belong to or apply to can see your profile, certifications, compliance status, and assignment history within that organization. They cannot see organizations you haven't joined.
  • Other officials, only where the product requires it. For example, a director can see who else is on a game's crew.
  • Service providers who process data on our behalf under contract: Supabase (database, authentication, file storage), Stripe (payouts), Twilio (SMS delivery), Resend (email delivery), Mapbox/OpenStreetMap (geocoding), and Vercel (hosting).
  • Legal and safety reasons — if required by law, subpoena, or to protect the rights, safety, or property of Referee Alliance, our users, or the public.

4. Referee ratings and referee numbers

Every official has a sequential reference number, visible to organization administrators (for cross-referencing schedules and payroll) and to the official themselves on their own profile. It is never shown to other officials or to the public.

Performance ratings that administrators leave about officials are private — visible only to administrators of the same organization. Officials never see their own or another official's rating, and ratings are never displayed publicly. Officials cannot rate one another.

5. Your choices

  • Access and correct. Review and update most of your profile information any time from your account settings.
  • Location and push notifications. Control these at the device/browser level; declining them limits certain features but doesn't prevent you from using core scheduling features.
  • Delete your account. You can permanently delete your account from your profile page at any time. We remove your contact details, uploaded documents, and other identifying profile information immediately, and deactivate your login. We keep payment, assignment, and audit records tied to an anonymized version of your account, because we're required to retain financial and compliance records for tax, accounting, and dispute-resolution purposes even after an account closes.

6. Data retention

We keep account and profile information for as long as your account is active. After deletion, personally identifying fields are removed as described above, while records required for financial reporting, payroll history, and audit trails are retained in anonymized form for the period required by applicable tax and accounting rules.

7. Security

We use industry-standard safeguards — encrypted connections (HTTPS), hashed passwords, private file storage with signed short-lived download links, and database-level access controls — to protect your information. No system is perfectly secure, and we can't guarantee absolute security, but we treat safeguarding your data as a core responsibility.

8. Children's privacy

The Service is intended for officials and administrators who are old enough to work and enter into agreements under applicable law. We do not knowingly collect personal information from children under 13, and we'll delete any such information if we become aware of it.

9. Changes to this policy

We'll update the date at the top of this page whenever we make changes, and, for material changes, we'll notify account holders in-app or by email before the changes take effect.
